SocialTank is a social media management and AI platform operated by Efficiency and quality company for trading LLC, a limited liability company registered in Muscat, Sultanate of Oman (“EQCT”, “we”, “our”, or “us”). SocialTank lets businesses connect their social and messaging channels — such as Facebook, Instagram, WhatsApp, and TikTok — to answer messages, reply to comments, create and schedule posts, and power AI assistants from their own knowledge. This Privacy Policy explains how we collect, use, store, and protect personal information when you use SocialTank, connect these integrations, interact with our chatbots, or otherwise use our services.

1. Who This Policy Applies To

This policy applies to:

  • Platform users — people who sign in to the SocialTank dashboard to manage bots, knowledge bases, conversations, comments, posts, integrations, and team settings
  • End users— people who message a business, or comment on a business’s posts, through channels connected to SocialTank, such as WhatsApp, Facebook, Instagram, TikTok, website chat widgets, or other supported integrations
  • Visitors — people who visit public pages of the SocialTank application, such as this privacy policy

2. Information We Collect

Depending on how you use SocialTank, we may collect the following information:

Account and organisation information

  • Name and email address
  • Organisation name and team membership details
  • Login credentials (stored in hashed form)
  • Role and access permissions within an organisation

Conversation and comment data

  • Messages sent to and from connected bots across channels
  • Comments on connected social posts and the replies sent to them
  • Conversation history, status, and channel information (e.g. WhatsApp, Facebook, Instagram, TikTok, website chat)
  • Contact identifiers such as WhatsApp phone numbers, and social usernames or account IDs made available by the platforms
  • Voice notes, images, and other attachments sent to a bot, and text transcribed or extracted from them
  • AI-generated responses, confidence scores, and escalation states
  • Token usage and message metadata needed to operate the service

Social content and publishing data

  • Posts you create in the Composer — captions, text, images, video, and reels
  • Scheduled posts and their publish times, target channels, and delivery status
  • Identifiers and permalinks returned by the platforms for published posts
  • Connected page, profile, and account details (e.g. page name, username, account ID)

Knowledge base and uploaded content

  • Documents, files, links, and catalog data you upload or connect to a knowledge base
  • Reference material and submissions used for AI grading and assessment, where enabled
  • Extracted text, chunks, embeddings, and related processing metadata

Integration and configuration data

  • Settings for connected channels such as Facebook, Instagram, WhatsApp, and TikTok

  • Monitor usage, enforce plan limits, and process billing
  • Improve platform reliability, security, and user experience

4. Social Media and Messaging Platform Data (Meta and TikTok)

SocialTank can connect to Meta platforms (Facebook Pages, Instagram, and the WhatsApp Business Platform) and to TikTok. When you or your end users interact through these channels, we may receive information permitted by each platform, such as:

  • WhatsApp phone numbers, and social usernames, profile names, or account IDs
  • Message content, comments, and timestamps
  • Contact and profile information made available by the platform
  • Post, page, and account details needed to publish and manage content
  • Webhook delivery data and message or post status events

We use this information to:

  • Receive inbound messages and comments through the platforms’ official webhooks and APIs
  • Route messages to the correct bot and organisation
  • Generate and send replies through the WhatsApp Cloud API, Meta Graph API, and TikTok APIs
  • Publish and schedule posts to your connected Facebook, Instagram, and TikTok accounts
  • Maintain conversation, comment, and post records inside SocialTank
  • Provide customer support and service reliability

Meta and TikTok process data under their own terms and policies. We only use platform data as needed to provide SocialTank and as permitted by each platform’s applicable policies. Platform data is never sold or used for advertising.

5. AI Processing and Third-Party Service Providers

To provide AI functionality, we may send prompts, conversation context, and retrieved knowledge base content to third-party AI providers, such as OpenAI, Google, or other configured model providers. Voice notes and images sent to a bot may be processed by speech-to-text and vision models so they can be transcribed, described, and answered.

We may also use service providers to help us operate SocialTank, including providers for:

  • Cloud hosting and infrastructure
  • Database and vector storage
  • Authentication, security, and encryption
  • Payment processing
  • Customer support and monitoring

These providers process information only as needed to perform services on our behalf and under appropriate contractual and security safeguards.

  • Organisation administrators and authorised users within your SocialTank workspace

SocialTank may use cookies, session storage, and similar technologies to keep you signed in, protect accounts, remember preferences, and understand how the platform is used.

You can control or disable cookies through your browser settings. Some SocialTank features may not work properly if cookies or session storage are disabled.

8. Data Retention

We keep personal information only for as long as necessary to provide SocialTank, operate connected integrations, maintain conversation, comment, and post records, comply with legal obligations, resolve disputes, enforce agreements, and maintain business records.

Retention periods may vary depending on the type of data, your organisation settings, legal requirements, and operational needs. When information is no longer needed, we will delete it, anonymise it, or securely store it where required by law.

We use reasonable administrative, technical, and organisational measures to protect personal information from unauthorised access, loss, misuse, alteration, or disclosure. This includes measures such as access controls, encrypted storage of sensitive integration credentials, and secure infrastructure practices.

However, no method of internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security.

11. Data Deletion Requests

If you want us to delete personal information we received through SocialTank, WhatsApp, Meta services, TikTok, or other connected channels, please contact us using the details below.

Please include your name, contact details, the platform or channel you used, and the words “Data Deletion Request” in your message.

We will review your request and delete applicable personal information unless we are required to keep it for legal, security, billing, dispute resolution, or legitimate business reasons.

You may also remove app permissions or connected services through your Facebook, Meta, or TikTok account settings where applicable. When you remove SocialTank from your Facebook or Instagram settings, we automatically receive a deletion signal through Meta and erase the personal data associated with your account.

Where a request is submitted through a platform, we provide a confirmation reference and a link where you can check its status. Businesses that use SocialTank can also erase, from their dashboard, the personal data held for a specific person on request.

12. Third-Party Links and Services

SocialTank may link to or integrate with third-party services, including Meta, WhatsApp, TikTok, payment providers, AI providers, and external websites. We are not responsible for the privacy practices, content, or security of third-party services. Please review their privacy policies before providing personal information to them.

13. Children’s Privacy

SocialTank is intended for business use and is not directed at children. We do not knowingly collect personal information from children without appropriate consent from a parent or legal guardian where required by law.
